Inspections
Inspections are the foundation of VLX. Everything you capture, verify, and report begins with an inspection. Whether you're performing quality checks, safety audits, property walkthroughs, or compliance reviews, inspections are the core workflow that brings structure, consistency, and accountability to your operations.
What Are Inspections in VLX?
An Inspection is a digital form based on a pre-built template. Templates define the structure—questions, inputs, logic, and rules—while inspections are the actual field-level records that get filled out by users.
Inspections are used to:
- Capture data in a consistent, structured format
- Add evidence like photos, videos, signatures, and comments
- Score and flag issues for review or corrective action
- Generate branded reports in PDF or Excel format
- Track changes and progress through metadata and activity logs
Each inspection represents a single instance of a review or audit, and can be scheduled, assigned, and tracked throughout its lifecycle.
How to Use Inspections
Using inspections on VLX typically follows these steps:
1. Start from a Template
Inspections are created based on templates. You can:
- Build your own custom templates using the Template Builder
- Download and edit templates from the Template Library
- Clone and adjust existing templates within your organization
Note: For example, a “Pre-Trip Vehicle Safety” template might include 20 multiple-choice questions with photos, scoring rules, and color-coded flags for any failed checks.
2. Launch an Inspection
From the dashboard or mobile app, users can:
- Tap “Start Inspection”
- Choose a template
- Fill in identifying details (location, date, assigned inspector, etc.)
- Begin answering the questions
You can also schedule inspections in advance or assign them to team members.
3. Capture Field Data
VLX allows real-time data collection with:
- Multiple input types (text, checkboxes, number ranges, etc.)
- Required fields and conditional logic
- Rich media support: photos, reference images, videos, and files
- Digital signatures, timestamps, and geo-tags
4. Submit or Save Progress
Inspections can be:
- Saved as drafts to complete later
- Submitted when fully completed
- Locked (if enabled by admin) to prevent changes once submitted
5. Review & Report
Once submitted, inspections are stored and available for:
- Export to PDF or Excel
- Review by admins or reviewers
- Follow-up on flagged responses or failed scores
- Integration with analytics and dashboards
You can also unlock inspections (if permitted by role) to make edits after submission.
Why Inspections Are Core to VLX
Everything in VLX is designed to work around inspections:
- Templates power inspections
- Teams assign inspections
- Data comes from inspections
- Reports and metrics are built from inspections
Whether you’re digitizing a single checklist or managing hundreds of inspectors across dozens of locations, inspections provide the standardized, traceable workflow to get it done faster, better, and with full transparency.
