Projects (Folders)
Projects in VLX allow you to organize multiple inspections under a single folder-like structure. This is especially useful when performing inspections across different locations, assets, or time periods as part of the same initiative — such as a property portfolio review, safety audit rollout, or multi-unit walkthrough.
What Is a Project?
A Project is a container for grouping related inspections. It doesn’t replace your templates or inspections — it simply gives you a better way to manage them, generate unified reports, and track status at a higher level.
Use Cases for Projects:
- Grouping inspections by property, site, or asset type
- Managing multiple phases of work (e.g., pre-site, during, and post-site checks)
- Organizing inspections for different buildings or units within a larger scope
- Bundling related inspections into a single combined PDF report
How to Create a Project
- Navigate to the Projects tab under your team.
- Click the + New Project button.
- Enter a Project Title, optional description, and status.
- Add Custom Fields, select an Overview template if applicable, and set a Location.
Adding Inspections to a Project
You can either:
- Add an existing inspection: Select any previously completed or in-progress inspection from your account.
- Create a new inspection directly from the project and select the desired template.
To do this:
- Open your project and click Add Inspection.
- Choose either Add Existing or Create New, and follow the prompts.
Once added, all inspections within the project are accessible from a single view, making it easy to monitor status, contributors, and findings.
Exporting Reports with Multiple Inspections
One of the biggest benefits of using Projects is the ability to generate a single report that includes multiple inspections.
To export:
- Go to the Report tab within the Project.
- Select which inspections to include in the report.
- Customize sections such as:
- Flagged items
- Inspection data
- Media and document appendices
- KYPiT Analytics (for Pro+ and Enterprise)
- Download or email the unified PDF report.
This is ideal for sharing compiled documentation with external stakeholders like clients, lenders, or regulators — all in one place.
Tips & Best Practices
- Use clear naming conventions like “Quarterly Site Audits - Q1 2025” or “Aventura Retail Portfolio” to stay organized.
- Archive completed projects to declutter your workspace while preserving your records.
