Report Presets
The Report Presets feature allows you to create and save multiple customized report styles for different teams, use cases, or client requirements. Instead of modifying the layout and sections of your inspection reports every time, you can now apply a saved preset in just one click.
What You Can Do with Report Presets
- Create and name multiple presets tailored to different workflows (for example, Transportation Safety Audits, New Store Openings, or Franchise Reviews)
- Control report visibility by team, ensuring the right format is always used
- Customize report sections such as flagging, annotations, data, and appendices
- Choose how questions and controls are displayed, including scoring and unanswered items
- Set a team default so new reports always start with the correct preset
- Duplicate or edit presets to quickly create variations
Note: For example, a team managing logistics inspections may use a preset named “Fleet Compliance Summary” that includes scoring, flagged media, and the documents appendix, while omitting unanswered questions for a cleaner report.
How to Access and Modify a Preset
- Go to the Reports > Presets tab
- You’ll see a list of available presets:
- Your custom presets (created by you or your team)
- VLX default styles (e.g., VLX Light, VLX Dark)
- Tap the three-dot menu (⋮) next to a preset to:
- Modify
- Rename
- Duplicate
- Set as Team Default
- Delete
Note: You can create different versions of the same report style for different audiences. For instance, you might have one preset for internal QA and another for external clients with fewer details shown.
Editing a Preset
When you tap Modify, you can:
- Rename the preset
- Set which teams can use this preset (multi-select supported)
- Choose report layout options in two categories:
Standard Settings
- Toggle sections like:
- Flagged Items (with media and annotations)
- Inspection Data
- Media Appendix
- Documents Appendix
Controls & Questions Settings
- Include annotations
- Show all response choices
- Show unanswered questions
- Include scoring
Note: If your report is being sent to a compliance department, enabling “Show all Response Choices” and “Include Scoring” may help them validate the inspection outcome faster.
Managing Team Visibility
Presets can be shared across specific teams:
- Select visibility from the dropdown (e.g., Transportation, Restaurants)
- Or apply it to All Teams for full access
- Each team will only see relevant presets when generating reports
Note: You might want to share a “Retail Summary Format” preset only with your Retail Operations team and not with Transportation or Warehousing.
Tips and Best Practices
- Use clear naming conventions (e.g., “Client Summary,” “Internal Review”) for easy filtering
- Duplicate existing presets for similar workflows to save time
- Set the most-used preset as Team Default to streamline setup
Note: Naming presets clearly based on use case or audience, such as “Corporate Roll-up Format” or “Site-Level Detail View,” can prevent confusion and ensure consistent reporting.
